Program Management

Tell us about a program you have managed from design to close-out. What was your role? (General)
Be specific about scope — budget, team size, number of people reached, donor — and separate what you did from what the team did.
How do you make sure a project stays on track against its logframe, budget and timeline? (Competency-based)
Name the tools you actually use: work plans, budget-versus-actual reviews, indicator tracking, regular team and partner check-ins.
Tell us about a time a project fell behind schedule. What did you do? (Behavioral)
Show how you spotted the delay, who you told (including the donor), the recovery plan you agreed, and the result.
Describe a time you had to manage a difficult relationship with a partner organization or donor. (Behavioral)
Interviewers want diplomacy and honesty: how you listened, found common ground, and protected the program.
How do you involve communities and the people you serve in program decisions? (Competency-based)
Mention accountability to affected people: consultations, feedback and complaints mechanisms, and examples of changing plans because of what communities said.
What experience do you have with donor reporting, and which donors have you reported to? (General)
Name donors (for example USAID, FCDO, EU, UN agencies, foundations), the reports you wrote, and how you made sure they were accurate and on time.

Monitoring & Evaluation

Walk us through an M&E framework you have designed or used. (General)
Cover the theory of change or logframe, indicators, data sources, how often data is collected, and who is responsible.
How would you choose indicators for a new project? (Competency-based)
Link indicators to outcomes, keep them SMART and realistic to collect, and plan how you will break data down (for example by sex, age and disability).
Tell us about a time your data showed a project was not reaching its targets. What happened next? (Behavioral)
Interviewers want to see that you share uncomfortable findings early and help the team use them to adapt.
How do you make sure data collected in the field is good quality? (Competency-based)
Mention training data collectors, piloting tools, spot checks and back-checks, data cleaning and data quality assessments.

Name tools (KoBoToolbox, ODK, Excel, SPSS, Stata, R, Power BI) and give a quick example of what you did with each.
Describe a time you presented findings to people without a technical background. (Behavioral)
Show how you simplified: clear charts, plain language, and a focus on what the findings mean for decisions.

Communications

How would you describe our organization's mission to someone who has never heard of us? (General)
Research the organization first. Keep it short, clear and human — this shows you can write for the public.
How do you tell the story of someone we support in an ethical way? (Competency-based)
Talk about informed consent, dignity, safeguarding, protecting personal data, and avoiding images or language that portray people as helpless.
Tell us about a campaign or piece of content you are proud of. How did you measure its success? (Behavioral)
Give numbers — reach, engagement, sign-ups, funds raised, media pick-up — and what you learned.
Describe a time you had to respond quickly to negative publicity or a sensitive issue. (Behavioral)

Fundraising

Include the donor, the amount, your exact role, and why you think it succeeded.
How do you find and assess new funding opportunities? (Competency-based)
Describe your sources (donor websites, funding databases, networks) and how you judge fit with the organization's strategy and capacity.

Interviewers want resilience: asking for feedback, improving the next proposal, and keeping the relationship with the donor.
How do you build and keep long-term relationships with donors? (Competency-based)
Talk about stewardship: timely reporting, sharing stories of impact, honest updates when things change, and thanking donors well.

Name humanity, neutrality, impartiality and independence, and give an example of applying one of them.
Tell us about a time you had to make an important decision quickly with incomplete information. (Behavioral)
Show how you weighed the risks, who you consulted, how you decided, and how you checked the outcome afterwards.
How do you look after your own wellbeing and your team's in a high-pressure environment? (Competency-based)
Interviewers want self-awareness: rest, boundaries, peer support, and noticing when colleagues are struggling.

Show you can coordinate, share information and avoid duplication rather than working alone.
What would you do if you received a safeguarding concern about a colleague? (Competency-based)
Follow the organization's policy and report immediately through the proper channel, keep it confidential, put the person affected first, and do not investigate it yourself.

Finance

Tell us about your experience managing grant budgets and donor financial rules. (General)
Name donors and their rules (eligible costs, budget flexibility, currency and procurement rules) you have worked with.
How do you prepare a budget-versus-actual report, and what do you do when you find a large variance? (Competency-based)
Explain your process, then how you investigate a variance with the program team and when you would ask the donor for a budget change.
Describe a time you found an error or irregularity in financial records. What did you do? (Behavioral)
Interviewers look for integrity: documenting it, reporting through the right channel, and fixing the control that allowed it.

Name systems (for example QuickBooks, Sage, SunSystems, Excel) and what you used them for.

Talk about keeping documents audit-ready all year, reconciliations, following up earlier findings, and working openly with auditors.

Which administrative and office systems have you managed? (General)
Cover filing and records, asset registers, contracts, travel and office management — with examples.

Explain how you judge urgency and impact, communicate timelines, and keep people informed.
